Enhancing Data Security in ERP-Based Human Capital Management (HCM) Systems: A Study through Workday Security Framework
Abstract
Protecting sensitive human capital data in Enterprise Resource Planning (ERP) systems is essential in today's digital environment. This study investigates data security strategies in ERP-based Human Capital Management (HCM) systems, with a particular focus on the Workday security framework. The analysis covers Workday's strong security measures, such as customizable security settings, role-based permissions, and compliance with international standards, assessing their effectiveness in protecting organizational data. The paper highlights the importance of domain and business process security policies in enhancing access control. Domain security policies govern access to specific data domains, while business process security policies oversee user interactions with organizational workflows, including hiring and payroll processes. When combined, these regulations guarantee strict oversight of private information and compliance with security best practices. Furthermore, the paper underscores the need to align security configurations with organizational structures and stresses the importance of ongoing monitoring and regular security audits to uphold data integrity. The findings demonstrate the effectiveness of Workday's security architecture in reducing risks linked to ERP-based HCM systems. The study highlights significant challenges such as data complexity, security management, and integration risks while providing insights into effective practices to tackle these issues. It emphasizes the importance of structured training programs to boost user adoption and the implementation of role-based access controls to alleviate security concerns. As enterprises negotiate the ever-evolving world of digital risks, the study suggests using artificial intelligence (AI) and machine learning (ML) for proactive threat detection and identity-based access restrictions. By combining these technologies with enhanced compliance measures and user-focused design improvements, organizations can strengthen their ERP security frameworks. The study wraps up with practical recommendations for organizations looking to bolster their data security strategies through Workday's advanced features.
